This letter is fictional and written for illustration. Replace every name, company, date and number with your own facts.

  • Name the HR areas in the advert (recruitment, employee relations, benefits) and mirror that order in your evidence paragraph.
  • Use one measured example of a sensitive case, keeping it confidential and focusing on your process, not the people involved.
  • Mention the HRIS or ATS tools you have actually used, such as Workday or ADP, rather than listing every system you have seen.
  • Show awareness of UK employment law where relevant, and state your level of responsibility honestly rather than implying legal authority.
  • Keep the tone professional and approachable; HR letters should show judgment, discretion and clear writing.
Should an HR cover letter mention confidential cases?

Only in general terms. Describe your approach, such as documenting findings and following policy, without naming individuals or identifiable details. Discretion is itself a skill employers look for.

How do I show results without exaggerating?

Use facts you can support, like the reports you produce, the processes you maintain or the audits you complete. Add figures only if they are accurate and you are comfortable explaining them in an interview.

Do I need to list every HR system I know?

No. Highlight the two or three systems most relevant to the advert, such as an ATS or HRIS, and say how you use them. A focused list reads as more credible than a long one.
